Using digital inspections

Overview

Digital inspections capture findings in a structured way that your team and customers can both understand. They are most useful when tied directly to the right vehicle or job and completed before the findings change.

Before you begin

  • Attach the inspection to the correct work order, customer, and vehicle context.
  • Know which checklist template fits the type of service you are performing.

Steps

  1. Create or open the inspection from the relevant work context.
  2. Complete checklist items and record findings while the technician is actively inspecting the vehicle or asset.
  3. Attach notes or images that clarify the finding, not just repeat the checklist label.
  4. Lock the inspection when review is complete so the record becomes stable for approvals and future reference.

Tips

  • Use consistent language for pass/monitor/fail-style findings so reporting stays meaningful.
  • Capture focused images that show the issue clearly rather than wide shots with irrelevant background detail.

Troubleshooting

  • If inspections seem disconnected from the job, verify they were attached to the right work order before technicians started entering results.
  • If customers are confused by findings, improve note clarity and make sure images support the explanation.
  • If an inspection should be final but is still changing, confirm it was locked after review.
